Microsoft Copilot Alternatives for Knowledge Workers Who Want Work Done

Published

A Microsoft Copilot alternative, for a knowledge worker who wants work done, is an agent that takes a task through to a reviewable result, not only a draft inside a Microsoft 365 app. xSquads is that kind of alternative when the work lives in your own files. xSquads helps knowledge workers become 10x more productive by giving each of them their own squad of specialised agents to delegate to and review.

Short answer

Microsoft Copilot alternatives for knowledge workers split into two jobs. Copilot assists inside Microsoft 365. A squad such as xSquads takes tasks on your own files and waits in Review. Mac now, with Windows coming soon. Moving from ChatGPT or Copilot means choosing where the finished work should land.

What Microsoft says Copilot is

Microsoft describes Microsoft 365 Copilot as an AI assistant built into apps such as Word, Excel, PowerPoint, Outlook and Teams. In Microsoft's own words on its Copilot for work pages, it helps you draft and edit documents, analyse data, build presentations, summarise email and recap meetings. Microsoft also says Copilot can ground answers in work data the user is allowed to see, through Microsoft Graph, when a Copilot licence is in place.

Microsoft's pages say Copilot is "powered by agentic capabilities" in Outlook, Word, Excel and PowerPoint, and that Copilot Chat can research, rewrite, analyse files and interact with agents. Microsoft documents an Agent Store of pre-built agents and Copilot Studio for building your own. Microsoft is explicit that you remain the decision-maker. Those are strengths, and they are real. A comparison that pretends Copilot cannot draft a document in Word is not worth reading.

This post does not quote a price. Microsoft's plans change, and a number copied here would go stale. Read Microsoft's current pages before you buy.

What is a Microsoft 365 Copilot alternative?

People use "Copilot alternative" and "Microsoft 365 Copilot alternative" for two different disappointments.

The first is "I want help in the Microsoft apps, from another vendor." That is an in-app assistant question. This post is not a catalogue of Word plug-ins.

The second is "I want the work done, and Copilot still leaves me copying the answer into the file, the folder or the task list." That is the knowledge-worker question. The alternative is not a better chat box in the ribbon. It is a place to delegate a task and review the change.

xSquads is aimed at the second question. It is a desktop app. Each knowledge worker gets a squad. You point a mission at a local folder. Bots with roles move cards from Backlog to To Do to In Progress to Review to Done. You accept the work or send it back. xSquads for Work describes the board. How it works is the sequence.

Mac now, with Windows coming soon. If your entire working life is already inside Microsoft 365 and you want the assistant in those apps, Copilot is the product Microsoft built for that, and xSquads does not replace Word. If the work is a folder of files that are not a Microsoft document, the squad is the closer fit.

How do Copilot and AI agents differ?

"Copilot vs AI agents" is the useful comparison, even though the exact phrase has little measured search volume. Copilot, as Microsoft documents it, is an assistant in the apps, with grounding in the tenant's data and a growing set of agents you can call or build. An agent that performs tasks, in the sense of this site, picks up a job, does the steps, and leaves a result a person can review outside the chat.

Both can be "agentic" in a vendor's marketing. The test you can apply without a glossary:

  • Does the result land in the file you already had, or in a chat you have to paste out?
  • Can more than one role work the same job on one board?
  • Do you review before it counts as done?
  • Does the tool need the task to happen inside a particular suite?

Copilot's answer, from Microsoft's pages, is the suite. xSquads' answer is the folder and the board. Neither description makes the other useless.

What if you are moving from ChatGPT or Copilot?

ChatGPT and Copilot are where most knowledge workers start. Both are strong at explaining, drafting and summarising. The move people are trying to make is from "help me think" to "do the task."

OpenAI documents its own agent surfaces, including a ChatGPT agent that can use a browser and a computer, and ChatGPT Work for longer jobs. This post will not restate those details from memory. They are cited on the ChatGPT agent alternative, which quotes OpenAI's docs and says plainly where a folder-based squad is different. If you are leaving ChatGPT because you want files edited in place, start there. If you are leaving Copilot because the draft in Word is not the same as the rest of the work in your folder, you are in the right post.

A practical way to move:

  • Keep the chat assistant for questions, rewrites and spreadsheets that already live in its app.
  • Move tasks whose output is a file you must keep: a plan, a memo, a research note, a checklist.
  • Write the task the way you would brief a teammate: the folder, the goal, the constraint, and what done looks like.
  • Read the result in Review before you send it anywhere.
Claude Cowork is the other common comparison, against Anthropic's agent. xSquads for Work vs Lindy is a third, cited from Lindy's own pages on that route. You do not have to pick one product for every job.

What tasks can you delegate?

"What tasks can AI agents do?" and "tasks to delegate to AI" are the same list, seen from the tool and from the person.

Delegate:

  • Research that comes back with sources you can open
  • A first draft of a document that should live in the project folder
  • A checklist, a status, or a comparison of options
  • Tidying names, links and notes so the folder matches itself
  • Follow-up drafts you will edit before they are sent

Do not delegate:

  • Sending email, spending money, or changing a system of record you have not checked
  • A number, a quote or a customer story the agent cannot point to
  • A decision that needs your judgment of risk

xSquads does not browse the web as a cloud computer, and it does not operate Microsoft 365 for you. If the task is "work inside this website," a product with a browser is the honest choice. Grok Bot is one such product, and the comparison page limits itself to what x.ai publishes. xSquads is for the files.

Which alternative fits?

Choose Microsoft 365 Copilot when the work is in Word, Excel, PowerPoint, Outlook or Teams, and you want an assistant that can use the Microsoft 365 context Microsoft describes. Choose a cloud agent when the work is in websites and should continue with the laptop closed. Choose xSquads when you want a squad on your own files, one board, and a Review column with your name on it.

xSquads is Mac now, with Windows coming soon. It is not a claim that every Copilot user should leave Microsoft. It is a claim about a different job: knowledge work that becomes 10x more productive when each person can delegate to specialised agents and review what comes back.

Frequently Asked Questions

What are the best Microsoft Copilot alternatives for knowledge workers?

For work that should land in your own files, a squad you delegate to and review is the alternative, and xSquads is that desktop app. For help inside Word, Excel, PowerPoint, Outlook and Teams, Microsoft 365 Copilot is the product Microsoft documents for that job. This post does not publish prices.

Is xSquads a Microsoft 365 Copilot alternative?

It is an alternative when you want tasks done on your files rather than an assistant inside Microsoft 365. It does not replace Copilot inside Word or Excel. Mac now, with Windows coming soon. Each person gets a squad, and finished work waits in Review.

How is Copilot different from AI agents that perform tasks?

Microsoft describes Copilot as an AI assistant in Microsoft 365 apps, with grounding in work data and access to agents. An agent that performs a task, in xSquads, picks up a card, works on your files, and leaves the result for you to review. The suite and the folder are different places for the work to live.

Should I leave ChatGPT or Copilot for a squad?

Keep them for questions and for drafts inside their own apps. Move the tasks whose output must be a file you keep and review. OpenAI's agent is compared, with OpenAI's docs cited, on the ChatGPT agent alternative post. The squad is for the folder.

What tasks should I delegate first?

Start with research that cites sources, a first draft in the project folder, and a checklist. Do not start with sending, spending, or any claim you cannot check. You should be able to review the first tasks in one sitting.

Does xSquads work on Windows?

Mac now, with Windows coming soon. xSquads is a desktop app. It is not a mobile app, and it does not operate the Microsoft 365 apps for you.
